Know where data goes
Map what customer data the AI sees, where it is processed and stored, and which third parties are involved. Ask for the provider’s subprocessor list and data-residency options.
Protect it in transit and at rest
- Encryption in transit (TLS 1.2 or later)
- Encryption at rest with managed keys and rotation
- Private networking and a web application firewall
- Secrets kept in a vault with rotation
Control who can do what
Use single sign-on, multi-factor authentication and role-based access. Make sure privileged actions and configuration changes are logged.
Keep answers on policy
Combine free-form AI with structured flows for regulated requests, ground answers in approved knowledge, and score conversations automatically for compliance.
Keep a human in the loop
Define when the AI must hand over, start with agent assist where suggestions are checked by people, and review transcripts regularly.
Check your local rules
Requirements differ by country and sector, for example personal data protection laws and central bank technology risk guidelines. Involve your risk and compliance teams early. This guide is general information, not legal advice.
